AI Note-Taking Is Prohibited Effective Immediately

Company training sessions often include sensitive business strategies, internal compliance protocols and trade secrets. Artificial Intelligence (AI) tools typically process and store audio and transcripts on third-party cloud servers, where the vendor's terms of service may grant them rights to use our data for model training.

Because of this, third-party AI note-taking assistants threaten our commitment to data security. These tools include applications such as Otter.ai, Fireflies, Grain, etc. These should be disabled during meetings to protect proprietary information. Remember to deactivate any auto-join features on these as well to ensure proper compliance with this policy.
 
It is best practice to use traditional handwritten or typed notes to capture key takeaways from meetings. Agents observed using unauthorized note-taking methods will be removed from the session.
